Files and Uploading

We accept any type of digital file that contains sound. If we don’t have the software to open the file, we’ll find a way to get it.

Any way you’d like. We provide an online form that you can use. You can also email a file to us directly. Some clients provide links to their files via HighTail, DropBox or similar, and some give us access to their own online portal.

We've set a 10GB limit to files uploaded through our Upload form, because browsers tend to time out on anything larger. However, our Production Team can send you a HighTail link to transfer even larger files. In theory, there’s an upper size limit to HighTail, the online file transfer service we use, but we’ve yet to reach it. 

Yes, although it’s becoming an increasing rarity. We can process several kinds of media, including hard drives, CDs, DVDs, and, yes, even audio cassettes. Please contact our production team beforehand if you have hard media you’d like us to use. We need to confirm that we have the right equipment to play back your media and arrange secure pickup.


Pricing and Turnaround

The simple answer
Send us your file, and our production team will review it, contact you with any questions, and quickly generate a price.

The complicated answer
Our team-based model makes us more efficient, more accurate, and often less expensive than other transcription companies, but it also rules out a simple “One Transcriptionist x No. of Hours x Hourly Rate” back-of-the-envelope price. After we review your file, we refer to an in-house pricing grid that includes a variety of criteria: number of speakers, length of conversation, quality of audio, expected turnaround time, and a dozen others too esoteric to mention. It’s complex but covers almost every contingency – and our clients find our prices to be very competitive.

As with pricing, we need to review your file before we can calculate the time it will take to finish your job. Keep in mind that our team-based approach allows us to tackle even the longest, most complicated jobs faster than any single transcriptionist ever could. What might take one person 20 hours could only take four hours for a team of five.

Yes, we do. If you need a rush on your job, please tell our production team. Please note there are additional fees for rush projects.

Our team

Typically, we assign your job to a team of transcriptionists, not just one individual. They share information through our Information Scaffolding system as they work. The work is then assembled, reviewed, and given a thorough edit before we pass the transcript back to you.

Sorry, but our team-centered process makes that impossible. Our production team, on the other hand, will always be ready to help you out.

Yes, they do. And they all reside in the United States – across several time zones, which we leverage to extend our working hours.

Sorry, we just don’t have the resources to do that. Other than the occasional foreign phrase, we only do English-language work.  Contact us for references to translators who we find amazing.

Our Process

Our production team will try to gather any relevant information before we begin, including speakers and the proper spellings of their names. Any supplemental materials that you can provide – captions, participant list, backup materials, scripts – will make our job easier. (And faster. And more accurate.) Failing that, we always do our best to figure things out.

For non-legal clients, we submit our transcript in our own Microsoft Word file format, unless you request otherwise. Legal clients will receive a non-editable, certified file, as required by their profession.

Yes, we can, and we think it’s a great idea! Almost all our media clients require this, but our other clients who request time codes tell us it makes their transcript considerably more useful.

Yes, you can. If you have a particular template you’d like us to use, please provide a sample for us, and we’ll implement it for no additional charge.

We take our clients’ confidentiality is very seriously. All transcriptionists sign non-disclosure agreements upon being hired and Gotham is happy to sign any additional agreements provided by our clients. Your sensitive materials are safe with us.
